A memorandum plays a very important role in an organization. It saves time to write letters individually. It can transmit a policy decision of an organization to several persons within a short time. A memorandum is usually written to provide information, to request information, to inform of action and decisions, and to request actions, decisions. However, the main purpose of writing a memorandum is to ensure quick and smooth flow of information in all directions.

It helps officers to maintain good business relationships among the colleagues and employees of an organization. Another important function of writing a memorandum is to ensure accountability. It being a record of facts and decisions, one can come to it in future if one needs to find out any wrong done previously by any employee of that organization.

Most of the organizations use printed memorandum forms. The benefit of using such printed memorandum forms is that these printed forms help one to write message quickly. As a result, it becomes easy for one to send message to the concerned officers. A memorandum usually does not contain detailed information like a letter.

Some examples of memorandum have been given below so that you can write it efficiently.

A memorandum letter of protest to the Managing Director mentioning the hazards of a metal sculpture installed in the central lobby of the main office.

Sinha & Khan Textile Ltd.
36, Gulshan, Dhaka 1214
Interoffice Memorandum

To               : The Managing Director
From            : Bipul Haldar, Accountant
Ref               : CM/TT

Subject        : Metal Sculpture in Central Lobby

I should protest the placement of the Galib Metal Sculpture in the central lobby. The artwork has become something of a hazard. Its long spiny tendrils catch on clients' trousers, coats, mufflers, and briefcases and are sharp enough to tear cloth.

I would hate for our law firm to find itself on the wrong end of a personal damages suit. Could we move the sculpture into the main conference room or somewhere less hazardous? Please advise me.

A memorandum letter reminding all the employees to follow the safety rules properly.

Millat Chemical Company Ltd.

To               : All Employees
From            : Sonia Talukdar, Factory Supervisor
Ref               : CL/FF

Subject        : Safety Protection—Nonslip Boots

A number of workers are not wearing their safety boots while working in the clean room. Please were these boots AT ALL TIMES when you are working in the clean-room area.

We issued the boots last May after a series of accidents in which workers slipped on the clean-room floor. A few months ago an employee struck his head on the floor and had to have 12 stitches in his scalp.

For your own protection, make it a habit to put on the boots before you enter the clean room. Let us make our factory a safe place to work in. Thank you for your cooperation.

The cost of stationary has gone up considerably and so to keep expenditure within the budget provision it has been decided to discontinue the issue of the weekly newsletter. Natasha Equipment Ltd.
36, Baridhara, Dhaka 1216

Interoffice Memorandum

Date            : 15 August, 2014

To               : All Sectional Heads
From            : Office Manager
Ref               : DH/TF

Subject        : Regarding the Dispatch of Outgoing Mail

You would recall that two years we had stated our policy regarding the dispatch of outgoing mail. I am restating it below to remind you of the procedure we are going to follow.

All mails received upto 4.30 pm should be dispatched on the same day. This cut off point has been fixed because the office closes at 5 pm and the Dispatch Section needs full 30 minutes for processing before it is sent to post office. Any mail received after 4.30 pm should be dispatched on the following day.

I hope you will cooperate with us and help the Dispatch Section perform its duty efficiently.
